CUSTOMER CARE SPEACIALIST

We are looking for a Customer Care Specialist to join our team 5 days per week, 40 hours per week.

Duties would include the following: Customer Care specialist

  1. Order processing
    • Communicate new order information to assembly production in timely fashion.
    • Make sure order information is current to operations planner prior to Monday and Wednesday assembly “scrums”.
    • Deliver orders to stock room daily by 11:00 AM each day.
    • Assist in maintaining machine serial number log.
    • Create assembly production forms for floor.
    • Assist Handling collector order processing with Operations Director.
  2. Other Customer Support:
    • Frontline for inbound phone.
    • Handle customer inquiries (Transfer technical and custom inquiries).
    • Credit memos issued from customer returns.
    • Send monthly statements to selected customers. Stay current on past due situation.
    • Assist Sales with quotes.
  3. Member of office team:
    • Participate in running office as part of office team.
    • Review floor inventory at month end for accuracy.
    • Participate in process improvement work.
  4. Shipping/freight
    • Coordinate export and domestic shipments.
    • Review UPS orders daily for accuracy.
    • Reconcile discrepancies in freight invoicing.
    • Assist operations manager w/freight claims.
    • Handle show-related shipping.
  5. Other duties and responsibilities as assigned
    • Answering telephone and handling customer calls.
    • Clerical assistance: Mail, filing, record keeping.
    • Working in our business systems (Quickbooks and MiSys).
    • Typing/documenting of purchase orders.
    • Maintaining tracking spreadsheets in Excel.
    • Word processing.
    • Other possible tasks to be defined based on company needs and candidate capabilities.

Position requirements:

  • Person must be friendly, helpful and good on the phone.
  • Must be able to perform accurate work.
  • Must be able to work 9 am-5pm.
  • Familiar with use of Microsoft Office software, especially Word and Excel.
  • Competent at word processing.
  • Office experience a plus.
  • Familiarity with Quickbooks a plus.
  • Spanish speaking ability a plus.
